SCHEDULING AND PRICING

At Tryon and Associates, it is our goal to make it easy to do business with us. The following information will help when you are interested in booking a seminar with us. This will also explain how we price and bill for our seminars and services. (Updated 12/15/98)


SEMINAR SCHEDULING

TENTATIVE BOOKINGS: When you have identified one or more seminars you would like to schedule with Tryon and Associates, notify us of the class and the dates that will work best for your organization. You are not required to actually confirm the booking at this time. We will work to either accommodate your requested dates or provide you with alternative dates. When we both agree to a specific date, we will mark it as a tentative booking on our calendar until you notify us that you would like to confirm, change or cancel that date. We will hold your tentative booking until we have a request for another client for that date. At that time, you will have the first option to confirm that date with us.  We do not require you to sign any contracts to hold tentative dates or confirmed training dates.

CONFIRMED BOOKINGS: Once you are ready to confirm a specific booking with us, we will send you a Seminar Confirmation that identifies course information, location, dates and costs. This booking will remain on our calendar unless you notify us of a change or cancellation. The Seminar Confirmation is not a contract. While we do not require a legal agreement to schedule or conduct a seminar, we will provide you with a template Training Agreement at your request.

We have designed this process to give you ultimate flexibility, and no risk, when preparing your training plans.  When we book these dates with you, however, we do assume that you have already identified a specific audience for a scheduled class or that you will actively promote the seminar in your organization.  Should you need to cancel or reschedule a seminar, you may do so without penalty.  We will contact you approximately 30 days before a scheduled seminar to verify the continued viability of the session.  We do ask that this open process not be used for purely speculative scheduling.

CLASSROOM SETUP: The most common setups for seminar sessions are in a "U" shape, rows of tables (classroom style) or clusters of work tables. We will work with you to find the best arrangement that fits your facility and seminar dynamics. We will need an overhead projector (with a spare bulb), a screen or white wall and a flipchart (with markers). Tryon and Associates will provide name cards and rosters along with basic seminar materials. We will let you know of any other special needs prior to the actual session.

CERTIFICATES: At the conclusion of each seminar, Tryon and Associates will provide each seminar attendee with a personalized certificate of completion. These certificates will be sent to a training coordinator for distribution.

PRICING AND BILLING

PRICING: When you confirm a seminar schedule with Tryon and Associates, we will provide you with a projection of costs for budgeting and planning purposes. We have priced each of our seminars according to a consistent formula. That way, you will receive the same pricing we offer to all of our clients. At your request, we will provide you with an estimate of cost for a specific seminar and explain that pricing to you.

The seminar cost includes all fees for seminar materials, presentation, instructor services, shipping and local travel expenses (hotel, transportation and meals). To that fee, we will add the cost of an unrestricted coach class airfare for travel within the United States and Canada; or an unrestricted business class airfare for travel outside of the United States and Canada. We will estimate the cost of airfare at the time of booking based on existing travel costs. Should the actual airfare change prior to the actual session, we will bill you for the airfare that was charged to the assigned instructor.

As all local expenses are included in our seminar costs, we do not provide any documentation of actual instructor expenses.

If a seminar is presented for you by an instructor who lives near your location, we will deduct any local travel expenses from the seminar fees.

BILLING: Once a seminar has begun, Tryon and Associates will provide you with an invoice for the seminar. This invoice will display a single billing amount and will not list any cost distribution. As many of the direct costs associated with your the seminar are billed to Tryon and Associates immediately, our invoice is payable once the seminar begins.  If you need to obtain internal approvals prior to paying a seminar invoice, please use the information we provide on the Seminar Confirmation to expedite the invoice payment.  We do not typically require advance payment prior to a seminar.

Our seminar invoice to you will be dated the last day of the seminar.  While our invoices are payable when you receive them, we recognize that some reasonable delay may occur as the invoice is approved through your payables process.  Invoice payment should occur within no more than 30 days following the presentation of a seminar. 

Should invoice payment require longer than 45 days after the final day of the seminar, we will add 3% delayed payment fee to the original invoice amount.  Should payment be delayed further, we will add an additional 2% fee for each subsequent 30 day delay.   These fees are to reimburse us for additional invoice processing costs and interest charged to us by our lending organizations for short term, cash flow financing.
